Reclaim.ai Vs Motion? Which Tool Do I Need?

You know, it's actually quite a tough question because either Reclaim or Motion can significantly improve your scheduling and productivity.

The right choice depends on your specific needs and preferences.

Ask yourself:

Do you need just a tool that focuses on smart scheduling and tracking habits OR do you want something that does A LOT MORE than that?

Yes, the winner of the Motion vs Reclaim battle really comes down to this question.

If you just need help with automating your day planning, meeting schedules, and habit tracking, Reclaim is an excellent choice. It offers a free forever plan and features a user-friendly interface that any beginner can learn how to use in minutes.

On the other hand, if you're seeking more advanced time-blocking software with robust features like project management and booking page templates for team collaboration, and you're willing to make a slightly higher investment, Motion might be the better option.

Get Motion if...

What is Motion?

motion homepage

Motion is an AI calendar app that can make a big difference in how you manage your time.

This app helps you can keep track of all your tasks and projects, schedule meetings, and even combine your personal and work calendars in one place.

One of the best things about Motion is that it automatically your day for you. No more wondering what to do next or getting overwhelmed with a long to-do list.

Motion figures out the best way to manage your tasks based on their priority, deadlines, and availability.

The app also has some other cool features, like project management and a meeting scheduler (which I will go really in-depth below).

You can organize your tasks into projects to keep everything structured and easily schedule meetings with clients or colleagues.

Now, I have to be honest with you: Motion is NOT the cheapest app out there!

It can be a bit pricey, especially if you choose the monthly payment option.

But if you're serious about being productive and saving time, it might be worth the investment.

Overall, Motion is a great tool for staying organized, managing your time, and getting things done. Give it a try and see how it can transform your productivity!

Motion Key Features Break Down

Motion is one of the best AI time management apps on the market.

But to keep it simple, let's talk about the most important benefits it brings to the table it can do in this explanation.

Let's DO it!

Automatically schedule tasks - Bon voyage to the days of manual planning

Once you begin adding tasks into Motion, the automated task management feature works its enchantment behind the scenes. It takes into account crucial factors such as priority, deadlines, availability, and abracadabra!

Your tasks are intelligently arranged within your calendar, eliminating the need to hire a personal assistant and shell out a hefty paycheck.

Thanks to Motion's AI capabilities, here's a glimpse of the automated schedule it designed for me after inputting all my tasks:

task scheduling

When adding a new task in the Motion app, you have the freedom to specify whether it's...

  • a high-priority assignment that demands immediate attention
  • a strict deadline that must not be missed
  • or a flexible deadline that allows for some leeway.
Adding new task in motion

Customization is at your fingertips as well. Whether you're a night owl, an early bird, or adhere to specific work hours, Motion adjusts the tasks to fit your preferred time slots.

And fret not if you're juggling multiple projects – Motion allows you to organize tasks into separate projects, ensuring clarity and efficiency. And that's when the project management feature comes into play!

2. Project Management - Say hello to your virtual project manager!

This is a standout feature that sets it apart from Reclaim.

Originally, Motion was just for scheduling, but it's grown into a powerful project management tool.

For someone like me, juggling lots of projects as a blogger and freelancer, this was a big deal.

It was tough to keep track of everything I had to do for different clients. But with Motion, I can easily manage all my projects.

Here's how it helps:

You assign tasks to projects, and Motion organizes them in your calendar.

It's a complete view of your day, including every work project, personal task, and meeting.

And for big projects, you can break them down into smaller tasks.

The best part? The AI in Motion sorts out all the scheduling for you.

If you add a new project. Right away, Motion updates your calendar to reflect it.

It even prioritizes and reorganizes tasks within a project.

If you miss a deadline, Motion reschedules the task. This saves a lot of time because you don't have to constantly redo your schedule.

If you like the Kanban board in Trello, you'll love what Motion offers. It's super flexible. You can move tasks around easily, which is great when things change.

The Default View in the project management dashboard is another game-changer.

It lets you customize your view to match your workflow. You set it once, and it stays that way.

This means you spend less time adjusting settings and more time focusing on your work.

You can tweak what you see, add or remove columns, and organize tasks the way you want.

It's made staying on top of my projects much easier and more efficient.

So, if you haven't tried customizing your view in Motion, give it a go.

3. Appointment Scheduling - Say Goodbye to Back-and-Forth Emailing

Check out Motion's meeting scheduling feature if you're constantly juggling multiple virtual meetings.

With this handy tool, you can create booking pages similar to Calendly, but with a simpler interface.

And any time slot you book will seamlessly sync with your Motion calendar.

Now, let's tackle the ultimate challenge: finding a mutually convenient meeting time. We've all been there, especially when dealing with different time zones.

But fear not!

Motion has a secret weapon: the template maker. It's a lifesaver in these situations.

You can create templates with your available time frames, making it a breeze to schedule meetings with clients or colleagues across different time zones.

But wait, there's more!

Motion's meeting assistant feature is here to make your life even easier.

Simply select the times when you're available to host a meeting, and with a magical keyboard shortcut (alt/option + command), presto!

You'll have a pre-filled message with available time options and a convenient booking page link.

No more endless email threads trying to coordinate schedules. Saving time means boosting productivity!

4. Integrations

With Motion, you don't have to worry about using different project management tools separately. It helps you bring everything together seamlessly. Isn't that great?

Motion works with:

  • Google Calendar: You can sync as many calendars as you like with Google Calendar. So no more missing important appointments!
  • Zoom: You can schedule and join Zoom calls directly from Motion.
  • Zapier: You can connect with thousands of popular apps using Zapier. This means you can automate tasks and make your work even more efficient.
  • Gmail: You can send custom meeting reminders and rescheduling requests with just one click.

Motion also works with Microsoft Teams, Google Meet, and Microsoft Outlook 365. You can schedule and join calls from these platforms directly within Motion. It's like having everything you need in one place!

Motion's API is also available for all users. This means developers can create their own integrations and make Motion even more powerful.

Product Update

Here are some of the features that Motion have added to their product:

Templates for projects and tasks: so you can quickly set up projects and tasks without starting from scratch.

Light mode: Motion used to only allow Dark Mode, but now they have realized that even software needs a good dose of sunshine every now and then! Ha!

Blockers and dependencies: This feature helps you specify the order of tasks, so you know exactly what needs to be done first before moving on to the next thing.

What Is Reclaim.ai?

Reclaim homepage

Just like Motion, but at a much more affordable price point, Reclaim.ai is a smart app that connects to your calendar, such as Google Calendar, and helps you schedule your tasks and meetings. It also includes non-negotiable events and time-blocking for tasks.

Although Reclaim doesn't offer as many features as Motion, I love Reclaim for its simplicity and effectiveness in managing my schedule.

One aspect that stands out to me is the colorful time blocks that Reclaim uses. They make it easier to visualize and differentiate between different tasks and events on my calendar.

It adds a touch of vibrancy and helps me quickly grasp the overall schedule at a glance.

But what really sets Reclaim apart from other scheduling apps? Let me tell you about some of its amazing features:

  • Reclaim syncs with multiple calendars, making it easy to keep all your appointments and events in one place.
  • It keeps your schedule organized and private, so people can see when you're busy but not necessarily what you're doing.
  • Reclaim adds buffer time after meetings, giving you some breathing room and preventing back-to-back meetings.
  • It integrates with other tools like Zoom, Todoist, and Slack, making it even easier to stay on top of your schedule and communicate with colleagues.

Key Features Key Features Break Down

Reclaim.ai offers a wide range of features. Exploring each of them would take up a series of books.

So, let's focus on the key features of Reclaim that make a significant impact.

1. Automatically schedule your task

When you add a task in Reclaim, you have the freedom to choose the specific time you want to schedule it, whether it's during your personal or working hours. Additionally, you can even break down your tasks into smaller chunks of time if needed.

working hours vs personal hours

To be honest, I personally find the auto-scheduling feature in Reclaim a bit confusing. I must say that Motion's AI seems much "smarter" in this regard.

I can't quite put my finger on it, but when I add a task in Reclaim and want it to be scheduled during my working hours (from 7 am to 7 pm), it sometimes ends up scheduled for 9 pm.

Here's an example:

auto-scheduling feature in reclaim

I maybe made a mistake somewhere, but I've never had the same issue when using Motion.

Nevertheless, Reclaim excels in other features, and I've had a great experience with it overall.

2. Existing Calendars Syncing

One of the things that make Reclaim shine among hundreds of other smart scheduling apps is that it also syncs with multiple calendars, so you can manage your personal and work schedules all in one place.

Let's say you used to use Google Calendar to keep track of your meetings and things you need to do. But if you had different calendars for work and personal stuff, it could get really tricky to manage them all. That's where Reclaim swoops in to save the day!

With Reclaim, you can bring all your personal commitments and important tasks into your work calendar. This means nobody can schedule a meeting or take up your time during those personal moments.

And don't worry, you have control over what others can see. They won't know the exact details of your personal commitments; they'll just see that you're busy.

3. Personal Time vs Working Time

Another amazing feature of Reclaim is its distinction between personal time and working time. When you create a new task, Reclaim doesn't force you to specify a specific time slot as Google Calendar does.

Instead, you can set up your working hours and personal hours. Reclaim then cleverly books available slots with automation, keeping them free until it becomes the last possible time to complete the task.

working time vs personal time in reclaim

When the time becomes defended, you'll see a shield icon, reminding you to get that task done on time. Others who try to book a meeting with you will also see that defended time and know it's important.

If you couldn't finish a task on schedule, don't worry! Reclaim can automatically move things around for you.

Here's how it works: Let's say you had something scheduled, but for some reason, you couldn't get it done.

All you have to do is delete that task from your calendar. Reclaim is smart enough to realize that it didn't get done and will rearrange your schedule for you.

Also, with the new feature updates, Reclaim lets you create custom hours for special events and allows you to schedule during that period of time.

I personally use this feature to add travel time and ask Reclaim to schedule tasks for me to do during my vacation.

create custom hours

4. Track Your Habit

Reclaim also helps you track your habits. This feature is similar to the "recurring task" feature in Motion.

tracking habit

Well, we all have habits that we do regularly, like reading books or exercising. Reclaim understands that habits are different from meetings and tasks because they happen repeatedly.

You can track your habit with thousands of habit-tracking apps out there, so what Reclaim is different?

With Reclaim, you can set different levels of importance for habits. This means you can decide what's most important to you. Maybe some habits, like reading books, are super important, while other habits are more like goals you want to achieve.

customize your habits

Reclaim also lets you fine-tune your priorities, so you can stay on track and make sure you're taking care of all the habits that matter to you. It's like having your own personal helper, reminding you to do your habits and keeping you organized.

5. 1:1 Smart Scheduling

With Reclaim, you don't have to worry about finding the perfect time to meet because it does it for you! It looks at everyone's schedules and automatically picks the best time that works for everyone.

And if something unexpected comes up and you need to change the meeting, Reclaim will handle it for you.

The best part is that the person you're scheduling the meeting with doesn't even need to use Reclaim! You can simply send them a special link, and they can choose the best time for them without having to sign up for anything. It's super easy and convenient for both of you.

6. Buffer Time Breaks

Another amazing feature of Reclaim is something called "buffer time." Buffer time is like a little break that Reclaim automatically adds after your meetings with other people.

It's a special time just for you to decompress and get ready for what's next.

buffer time in reclaim

The cool thing is that to other people, it looks like any other meeting, so they can't book you during that time.

Buffer time is super helpful because it means you won't have back-to-back meetings or calls without a break in between. It's like having a pause button to catch your breath and gather your thoughts.

You can also use the buffer time to add travel time if you need to go somewhere for your meetings or appointments.

6. Integrations

Reclaim has a cool feature called Integrations that connects your favorite apps to your calendar. It works with apps like:

  • Slack
  • Zoom
  • Google Tasks
  • Todoist
  • Asana
  • Jira
  • ClickUp
  • Linear
  • monday.com (coming soon)
  • Trello (coming soon)

These integrations help you do more by combining different tools you use for work.

For example, if you have Zoom meetings, Reclaim can automatically adjust your schedule and give you time before and after your calls. It also works with other task management apps like ClickUp and Asana, so you can sync your tasks with your calendar.

Motion And Reclaim.ai Pricing

Motion Pricing

Motion _ Pricing

When you see Motion's pricing plan, you might be SHOCKED.

For the individual plan, it's a whopping $34 per month if you choose to pay monthly. It's quite expensive for a scheduling app, right?

If you prefer the annual plan, you can pay $19 per month instead. It's a more affordable choice. And here's the best part: you can try Motion offers a free-trial for a whole week to see if it's worth the money.
